- Inventory data: wine details including variety, vintage, region, volume, pricing, lab analysis, and wine condition

- Payment information (processed securely by Stripe — we do not store card details)
Information collected automatically
- Usage data: pages visited, features used, actions taken on the platform
- Device information: browser type, operating system, IP address
- Cookies and similar technologies for session management and platform functionality
Information generated by the platform
- AI-generated market intelligence, pricing analysis, and portfolio insights
- Marketplace activity metrics (listing views, sample request patterns)
3. How We Use Your Information
We use your information to:
- Provide, maintain, and improve the CellarBoard platform
- Process subscriptions and payments
- Operate the anonymous marketplace, including matching buyers and sellers
- Generate AI-powered market intelligence and pricing guidance
- Send transactional emails (sample requests, listing updates, account notifications)
- Send marketing communications (only with your consent, and you can opt out at any time)
- Monitor and analyse platform usage to improve our services
- Detect and prevent fraud or misuse of the platform
- Comply with legal obligations
4. Anonymity and the Marketplace
CellarBoard's marketplace is designed to protect seller anonymity. When a seller lists wine, their identity is not disclosed to buyers. Seller identity is only revealed when the seller explicitly accepts a sample request from a buyer.
Aggregated and anonymised marketplace data (such as pricing trends and demand signals) may be used to generate market intelligence features. This data is never presented in a way that identifies individual sellers or their specific inventory.
5. How We Share Your Information
We do not sell your personal information. We may share your information with:
- Other platform users: Only when you explicitly consent, such as when accepting a sample request (which reveals your identity to the requesting buyer)
- Service providers: We use trusted third-party services to operate the platform:
- Supabase (database hosting and authentication — servers in Asia-Pacific)
- Stripe (payment processing)
- Resend (transactional email delivery)
- Anthropic (AI-powered analysis — no personal data is sent, only aggregated wine data)
- Vercel (application hosting)
- Legal requirements: Where required by law, regulation, legal process, or government request
6. AI and Your Data
CellarBoard uses AI (powered by Anthropic's Claude) to generate market intelligence and pricing guidance. When generating AI insights:
- We send aggregated wine data (variety, region, vintage, volume) to the AI service — not your personal details
- AI-generated content is for informational purposes only and should not be relied upon as professional advice
- We do not use your data to train AI models
7. Data Storage and Security
Your data is stored on servers operated by Supabase in the Asia-Pacific region. We implement appropriate technical and organisational measures to protect your information, including:
- Encryption in transit (TLS/HTTPS) and at rest
- Row-level security policies ensuring users can only access their own data
- Secure authentication with email verification
- Rate limiting on API endpoints
- Regular security reviews
While we take reasonable steps to protect your data, no method of electronic storage or transmission is 100% secure.
8. Data Retention
We retain your personal information for as long as your account is active or as needed to provide services. If you close your account, we will delete your personal information within 90 days, except where we need to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.
Anonymised and aggregated data (which cannot identify you) may be retained indefinitely for platform improvement and market analysis purposes.
9. Your Rights
Under the Australian Privacy Act, you have the right to:
- Access the personal information we hold about you
- Correct any inaccurate or incomplete information
- Request deletion of your personal information (subject to legal obligations)
- Opt out of marketing communications at any time

10. Cookies
CellarBoard uses essential cookies for authentication and session management. These are necessary for the platform to function and cannot be disabled. We do not use advertising or tracking cookies. We do not share cookie data with third parties.

Some of our service providers may process data outside of Australia. Where this occurs, we take reasonable steps to ensure your data is protected in accordance with the Australian Privacy Principles. Our primary database is hosted in the Asia-Pacific region by Supabase.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the platform. The “Last updated” date at the top of this policy indicates when the latest changes were made.
